I've been going back and forth between whether phone calls or letters are better, but I think I will go with the follow up letters again for my next. I just don't see myself having the time to make that # of phone calls during the crunch time.

I definitely would send it to all of the kids. I know I like to be reminded of the pick-up time in case I didn't write it down on the calendar. It's also great to receive an extra copy of the directions ( from one who has lost quite a few already...) You won't regret the little bit of extra time and postage.
