how soon does one need to get started on the planning?

If I'm in one state and the parents are in another...
3 hours away [single mom sister in her 30's is near parents]
... should the party planner be nearest me or nearest my parents
the party will be at the location of the parents home or
in a nearby church. Should the party specialist be nearest me
or nearest my parents?

There will probably be 150 invitations sent out.
