25 Ann. Help... "Silver and Green" theme

Hi all... I just thought that I'd pick your brains for a few ideas and ask your help with a few minor technical problems.

My brothers and I are planning an anniversary party in late August for my parents. Only one of us still lives in the area and he is really too young (and slightly unmotivated) to really do much. The green comes from the fact that we are planning on sending then to Ireland. (The last vacation they both took was about 15 years ago, in a mini-van with 3 kids and a dog!) The catch is that they all know about the party,... the do not know who is coming though and the know nothing about the tickets... thats the BIG secret!

Here are my dilemmas.

#1. I'm studying abroad beginning in Sept., the the budget is REAL tight. In addition, my younger brother is getting married in July so that makes it even tighter.

#2. The food is going to be made by myself and my grandmothers husband... the cake by my aunt. Very basic.

#3. The decorations are going to be done St. Patty's day style with Green and Silver shamrocks. I'm going to play some light Celtic music in the background...

#4. I have invitations going out to some family that has to fly in...

My questions are:

How to word the invitations to let them know that gifts are not expected but donations to this trip are more then welcome?

Where would I locate Ireland travel posters? Travel Agencys?

When should I send my invitations out because my brother is not sending his out until late May and his wedding is in the end of July? I want the anniversary to be important but not overshadow my brother's wedding day?

Is it my job to book hotel rooms? Can I just add a Post Script that an information packet on hotels etc will be mailed to them when they RSVP? Is it my job to pick them up at the airport?

Does anyone know if there will be a problem finding St. Patrick's Day stuff buried at the back of Party Supply Outlets? Should I look online...? I really need something WITHOUT the "Happy St. Patty's Day" scripts.

Does anyone have menu ideas?

Is there anything I've forgotten?

I'm trying to get most of the planning out of the way early so that I can plan for both my trip and the wedding.

If anyone has hints or anything... if you can answer ANY of my questions, this would be more then welcome!
